Article Approval Process

Initial Setup

In some cases you may want to control generally who can make changes to content, and who can publish that content. This is made available with the article approval process in Elevio.

To enable this process, you will need to create a new Role that has the Manage Content permission assigned to it, but has the Approve Content permission disabled.

Submitting Updates For Approval

When teammates who are assigned that new role are editing content, rather than seeing a green Publish button, they’ll instead see a Request for Approval button. 

Upon hitting this button, it will move the article to a Pending Approval state, which will be made obvious in the top right metadata area, as well as a banner appearing above the editor.

You can easily see articles that are in a Pending Approval state on your main dashboard, as well as filter your content dashboard to showing only articles that are pending approval.

Checking And Approving Updates

As someone with Approve Content permission, when viewing the article you will also see the banner above the article and in the top right metadata area explaining the status.

You will be able to hit the Version History button which will show you a comparison of the last published version of the article, and the work that has been done since then in a side by side, and colour coded view.

The left side is a full version of the article that you're looking at, The Right side will show a comparison of the two versions selected in the drop down menus in the top area.

When you're happy with the changes that have been made, simply return to the editor and hit the main green Publish button.
